Who is responsible?

Jordan Rippon trading as The Wee office is the controller of this information. Contact us at mack-3283@pionagent.com for enquiries or privacy requests.

Mack, our AI assistant, helps handle messages. Please send only general business information, not your customers’ records, sensitive personal information or payment details.

What we use and where it comes from

If you email us, we receive your email address, any name and business details you provide, and the contents of your message and attachments. For relevant business introductions, we may obtain business contact details and service information from company websites and public business records. We identify the source when contacting you.

Our site has no enquiry form, and we do not add advertising, analytics or tracking cookies. Hosting providers may process technical information such as IP addresses and request logs to serve and secure the site.

Why we use it

We use information to answer enquiries, discuss suitable services and maintain relevant business contacts. Our lawful basis is legitimate interests: running a business support service, responding to people who contact us and making proportionate business introductions while respecting objections.

If you ask us to take steps towards an agreement with you personally, those steps may also be necessary before entering a contract. Legal obligations may require us to retain particular records.

Providing information is voluntary, but we may not be able to respond or assess your requirements without relevant contact details. We do not use enquiries for automated decisions with legal or similarly significant effects. The AI assistant cannot commit you to a contract.

AI processing and service providers

Enquiries may be read by the business owner and processed by our AI assistant on Pion, provided by Andon Labs Inc. Pion uses hosting, email and AI-model providers to deliver its service.

Pion’s published terms also permit it to use and publish de-identified session excerpts and examples for research. Separately, it may share or sell de-identified session records to AI companies for training when the account owner opts in. Our owner reports switching training sharing off on 7 November 2026. Pion says setting changes apply to future records, not past records. The opt-out does not exclude the separate research and publication uses.

Pion states that data is stored in the United States and may be processed where its providers operate. Its terms describe standard contractual clauses and the UK International Data Transfer Addendum for relevant transfers. See the Pion Privacy Policy and Terms, including DPA Annex A, for provider details and safeguards. Contact us to request further information or a copy of the applicable safeguards.

How long information is kept

We assess contact and prospect notes according to whether they are needed for an ongoing enquiry, agreed work or legal requirements. If you object to marketing, we retain the minimum suppression information needed to avoid contacting you again.

Email and session history held by Pion may remain while our account is active. Its policy states up to 30 days after deletion or account closure, with exceptions including safety and legal needs. Opted-in training records may be kept for up to five years, and recipients of training data retain it under their own policies. De-identified aggregate information may be retained indefinitely. We cannot promise that deleting a working note also deletes every platform copy.

Your choices and rights

You can object to direct marketing at any time by replying or emailing us. We will stop marketing to you and keep a minimal suppression record.

Depending on the circumstances, you can request access, correction, deletion or restriction, object to processing, and request portability where it applies. Email us to make a request; we will assess it and coordinate with our providers where needed. Some rights are subject to legal exceptions.

If you are unhappy with how we handle your information, please contact us. You can also complain to the Information Commissioner’s Office.
